How we work

From first call to launched site.

A straightforward four-step process. You always know what's happening, what's next, and what's expected.

Free consultation

A complimentary 15-minute call to look at your current online presence, understand what you need, and share honest advice. No commitment.

Written scope & deposit

Once we align, you receive a written scope outlining everything that's included. A 50% deposit starts the work.

Design & build

We design and build your site with regular check-ins. You review in rounds: 1 round (Essentials) or 2 rounds (Professional) of design and content revisions.

Launch

Final payment, site goes live, and your Hosting or Care plan takes over day-to-day management. You own the site, domain, and code, with full access whenever you need it.

Standard terms

The fine print, in plain language.

Payment Terms

  • 50% deposit to begin work; 50% on delivery
  • Support plans billed monthly
  • All prices in CAD + 5% GST
  • Payment via e-transfer or Stripe invoice

Revisions

  • Practice Essentials: 1 round of design + content revisions
  • Practice Professional: 2 rounds of design + content revisions
  • Clinic / Custom: rounds scoped per project
  • Additional revisions billed at $100/hr + GST

Scope & Change Requests

  • Every project begins with a written scope outlining what's included
  • Requests outside the agreed scope are treated as change requests
  • Change requests are quoted in writing before any work begins. No surprises.
  • Additional work billed at $100/hr + GST

Timelines & Client Responsibilities

  • Timelines assume client feedback within 3 business days of each review
  • Content (text, images, logos) is the client's responsibility unless otherwise agreed
  • Projects paused for more than 14 days due to no response may be placed on hold
  • Restarting a paused project may require re-scoping depending on time elapsed

Cancellation & Refunds

  • The 50% deposit is non-refundable as it covers work already completed
  • You may cancel at any time. You'll receive all work completed to that point.
  • If we need to cancel, you'll receive a full refund including the deposit

Ownership & Handover

  • You own your website, content, and domain. It's yours after final payment.
  • Day-to-day hosting and monitoring continue under your support plan; full credential access is available whenever you need it
  • Third-party licenses (fonts, stock images, plugins) are transferred or documented at handover
  • We retain the right to feature completed work in our portfolio unless you request otherwise

Support Plan Terms

  • Billed monthly, no long-term contract required
  • Unused hours do not roll over to the next month
  • Cancel anytime with 30 days notice
  • Updates include text changes, image swaps, and minor layout adjustments
  • New pages, features, or redesigns are scoped separately

Health and wellness sites handle sensitive information. Every site we build is designed to respect your clients' data and be usable by everyone.

Privacy

PIPA BC compliant

Every site is built to comply with BC's Personal Information Protection Act, the privacy law that governs how businesses in British Columbia handle personal information.

  • Customized privacy policy page on every build
  • Contact & booking forms collect information with meaningful consent
  • Secure transmission (HTTPS, SSL) by default
  • CASL guidance for any email-signup features

Accessibility

WCAG 2.1 AA baseline

Every site meets Web Content Accessibility Guidelines 2.1, Level AA (the international standard for accessible web content), so visitors with disabilities can use your site comfortably.

  • Sufficient colour contrast, readable typography
  • Keyboard-navigable with visible focus states
  • Alt text on images, proper heading structure
  • Respects reduced-motion preferences

Note: the Accessible British Columbia Act applies to public-sector bodies, not private practices. WCAG 2.1 AA is still the right baseline for any health-adjacent site, and the standard we build to regardless.
